Staff Leave management is made easy with the Staff Leave Planner.

The Staff Leave Planner has been designed to be a simple as possible, yet allow the user to customise the planner so that it meets their needs. The screenshots on this page highlight the main features of the planner.

We also have a video that demonstrates the planner and offer free downloads of the planner.

Entering Staff Details

The staff planner allows you to manage your staff data on the planner through the "Staff Data" worksheet.

Just enter the name and leave entitlement of your staff onto an empty row and the planner will calculate the total leave entitlement and populate the staff details throughout the planner.

When you need to remove staff from the planner, there is an easy to use "remove staff" form.

Entering Leave Details

Entering leave onto the planner is easy. For the member of staff, find their row

then find the column where the date of the leave is. Then enter the code for the type of leave taken - typically "H" is for holiday, "S" for sickness and "T" for training.

If you have the "hours" version, you have to record the hours with the code e.g. "H7.5" to show 7.5 hours of holiday.

You can also define your own custom codes and add comments to leave entries.

The "Key" worksheet allows you to define up to 10 of your own codes to use with the planner. This will allow you to customise the planner to fit your individual business needs.

Running Individual Reports

The planner supports a variety of reports. The individual report will detail all of the holiday / leave that a member of staff has taken over a particular period of time, which is ideal for human resource managers to produce reports for. This report can also be run in "bach mode" meaning that if you need to run the same report for everyone, the planner can automatically do this for you.

Printing Leave Details for Specific Staff

If you want to print the planner or export it to a workbook and email to your employees then the "Monthly Report" feature allows you to achieve this.

The Monthly Report allows you to specify a group of staff (e.g. everyone or maybe just the "Admin" department) and then see the leave they have booked for a particular month. This is then more suitable for printing out and displaying, or saving to a network drive to allow staff to view entitlement without being able to see the details in the planner.

Group Reporting and Overall Statistics

The Group Leave Reports allow you to break down the statistics by particular dates, specific members of staff and specific categories which is useful if for example you wanted to see the total amount of sick leave the sales team had in the first quarter of the year.

Settings and Other Features

Every business is different in the way that it wants to organise it's leave. The planner allows you to customise what columns you want to see on the planner, what weekdays to show and it supports custom national holiday dates.

The staff planner also has lots of other features that make it easy to use and customise for your business.

We have built into the planner search forms that allow you to find your staff more easily when trying to run reports, so whether you have 15 or 250 staff to report on the process is as easy as possible.
